Getting started
How do I get an account?
Accounts are created by a System Administrator inside your organisation — there is no public sign-up. That is deliberate for a regulated pharmacy: every account belongs to a named person with an explicit role, and every action is recorded against it. Get in touch and we will arrange a walkthrough and set you up.
Can existing data be brought in?
The medicine catalogue can be imported from a spreadsheet, and the importer validates every row — duplicates, unknown categories, malformed prices — before anything is written, then reports what it found. Opening stock and balances are set up during onboarding.
How it works
Is the accounting real double-entry?
Yes. There is a chart of accounts with control accounts, and operational events post balanced journal entries as they happen — receiving stock raises the inventory and the payable together, a sale posts revenue and relieves inventory at the dispensed batch’s cost. The trial balance, income statement and balance sheet are read from those entries.
How are expiry dates and batches handled?
Every batch is a separate record with its own cost, expiry date and supplier. Dispensing allocates first-expiry-first-out within the branch being served, so short-dated stock moves first. Expired and withdrawn products cannot be dispensed at all, rather than producing a warning somebody can click past.
What happens with several branches?
Stock, sales and journal entries all carry the branch that raised them. Staff assigned to a branch see only that branch, enforced on the server rather than hidden in the interface. Oversight roles see the whole organisation and can filter to one branch.
Access and security
Who can see what?
Seven roles, each with an explicit permission set — from a Pharmacist who dispenses to a Top Manager who can see everything and change nothing. Permissions are checked on every request, so what the interface offers and what the server allows cannot drift apart.
Is there an audit trail?
Yes. Every state-changing request is recorded with the user, the action, the affected record and the time. Corrections are posted as balancing entries rather than edits, so history stays readable.
Pricing
Can I change plan later?
Yes. Plans differ in branch count and in which modules are included, and moving between them does not affect your data. Talk to us and we will move you across.
What is included in every plan?
Core pharmacy management, inventory tracking and sales and billing are in all three. The plans differ in branch count and in whether prescription management, supplier management and advanced reporting are included.
