Medicine Expiry Date Tracking Software
Short-dated stock leaves first because the system allocates it first — not because somebody remembered to check.
The problem
Expiry losses are usually discovered at a stock count, months after the money was lost. A watch list helps only if somebody reads it; the dispensing decision is where the loss is actually prevented.
How it works
What Ingata PharmaPlus does about it
- 1
FEFO allocation at the counter
Dispensing draws from the batch that expires first, within the branch being served. The pharmacist does not choose a batch and cannot accidentally pick the wrong one — the allocation is the system’s decision, made on every line.
- 2
Expired stock cannot be sold at all
Expired and withdrawn products are refused at the point of sale. Not a warning that can be clicked past — the sale does not complete.
- 3
Alerts by batch, with days remaining
The expiry watch list shows the batch, the quantity and the days left, so the decision to discount, return or write off is made while there is still time to act.
- 4
Write-offs hit the books
Removing expired stock posts a write-off against inventory, so the loss appears in the income statement rather than quietly disappearing from the shelf.
Included
What you get
Each of these is a behaviour in the product, not a planned one.
- First-expiry-first-out allocation, scoped to the serving branch
- Expired and withdrawn products blocked at the point of sale
- Expiry watch list with days remaining per batch
- Configurable alert window
- Write-offs posted to the ledger with a reason
- Manufacture dates held where shelf life runs from manufacture
Where it lives in the product
Signed-in users reach this module at /dashboard/inventory. Access depends on the role your System Administrator assigned — permissions are checked on every request, so a role that cannot use a module cannot reach it by URL either. The roles are listed on the about page.
Pricing
This module is part of the platform rather than an add-on. See plans and pricing, or the frequently asked questions for how dispensing, branches and the books fit together.
Related capabilities
- Inventory ManagementStock held as batches rather than a single number per product — so what you own, what it cost and when it expires are all answerable.
- Point of SaleThe till and the books are the same system, so a day’s takings need no reconciling.
- Accounting & ReportsThe statements are read from the entries operations already produced, not assembled from a spreadsheet afterwards.
